Administrative Assistant II

(Opportunities Program)

This individual will provide administrative and operational support to the Opportunities Program Unit of the Fund. This will include a variety of duties involved with organizing; processing and maintenance of data systems and documents associated with the Fund in compliance with NYS Laws and Fund policies governing the Opportunities Program.

 Specific Duties and Functions: 

  • Provide administrative and clerical support for the Opportunities Program.
  • Assist with resolution and/or distribution of phone calls.
  • Input of program data into electronic systems for production of program reports.
  • Maintenance of unit files.
  • Responsible for unit correspondence.
  • Provide routine responses for inquiries from consultants and contractors on basic Program matters.
  • Produce documents for distribution to contractors; consultants and Fund staff as directed.
  • Maintain task calendar for issues requiring follow-up.
  • Make travel arrangements and prepare reimbursement requests.
  • Perform other duties as directed.

Qualifications and Experience Requirements: 

A High School Diploma and three years experience in a business environment are required. An Associate's Degree and two years experience in a business environment are desired. Must be very accurate with an ability to work under pressure. Strong interpersonal skills and ability to work effectively with a wide range of constituencies. Must have strong organizational skills and experience working independently. Must be proficient in Microsoft Office Suite applications, including MS Word, MS Excel and MS PowerPoint; and data management systems.
